AIS™ Frequently Asked Questions
1.
Are you required to navigate with the mouse with AIS™?
No. AIS™ is a Windows based program, which fully supports both mouse or keyboard navigation. Special attention was paid to the design of the application to support minimum keystrokes, and therefore, fast keying of data entry.

Is security an option with AIS™?
No. AIS™ contains its own Security Manager module, in order to allow the client to define who does what within their own offices. Users with similar access requirements can be grouped together, and security granted at the group level, or at the user level. Security is granted at the individual task level, allowing you to have clearly defined roles assigned to each of your users.

What are the minimum requirements to run AIS™ in my office?
AIS™ is built as a client/server application, therefore minimum requirements are split into those two categories. The server must be running Windows 2000 server, SQL Server 2000, and have high-speed remote connectivity. The client PCs must be running no less than Windows 2000, and we recommend 512MB of memory. 4. How can I get a list of sales for a given date range?
Use the advanced search and query on Ownership From Date and Ownership To Date. This search works with the deed dates on the deed information that is entered during the transfer process.
5. Can deeds be scanned and assigned in the system?
Yes. There is a parameter called ImgDeedStage that designates where you should save all scanned deed images so they can be assigned later. To assign a deed image, double click on the deed record and then select Assign Deed Image from the Deed Images menu in the upper left side of the deed info screen.

Why are my values and taxes on my taxroll recap reports the same as last year?
Taxes must be recalculated each year and whenever significant changes are made to values on the roll or to millages. The Taxroll Reports screen always states the date and time of the last recalculation in the title bar.

How can I know if there is a millage duplicated on any parcels in the taxroll?
A millage can be duplicated if it is included in more than one tax region and both tax regions are applied to a parcel. These cases can be found by utilizing the balance tool "Locate parcels with Duplicate Tax Codes". Balance Tools are run from the Setup menu.
8. How can I know if a tax region is duplicated on any parcels on the taxroll?
A Tax Region can be duplicated when it is assigned at both the Parcel and Item level of a parcel resulting in double taxation of that region. These cases can be found by utilizing the balance tool "Locate parcels with Duplicate Tax Regions". Balance Tools are run from the Setup menu.

How can I prevent any changes from occurring to the taxroll during the taxroll approval process?
This can be best accomplished with the AIS™ security manager. Set up a group called TaxrollSeason and give this new group the required minimal permissions. Put all staff user accounts into the membership of this new group. When the approval process is complete you can move the users back to their regular groups.
10. How can I print a report of user activity in AIS™ for a given date range?
This can be accomplished with the Audit Search feature found in the Search menu on the task bar. From here you can filter by date range, user name, or action taken. The search screen has a print option and the report will give the old and new values of the items that have been changed.
11. Can I change the default printing options that come up when I print a listing sheet, so I do not have to manually change them each time I print a listing?
Yes. Go to Setup > System Administration > Parameter Setup > Parcel Listing Options.
Each option can be set with either a 1 for on (checked) or a 0 for off (not checked) When you set this, it is set this way for everyone on the system.
12. Can I change the font on the taxroll printout?
Yes. Go to the Report Manager and highlight Taxroll Reports then select the "Set printer / Font for Selected Report" option. You can then choose from a predefined list of fonts. This will only work for the taxroll reports.
13. Why does the Appraise button only work on some parcels?
When the Appraisal button is not working it is in a "Ghosted" state
which means the property item classification has not been set to a specific
appraisal type. To set the appraisal type on a property class, go to Setup
> Property Classes and click on Edit. From there you can select the appraisal
type from the drop down box.
